To run the day-to-day operations of the office and diary for the Regional Director UK /VP Retail EMEA, alongside the Senior Creative Director EMEA & Japan and to support their respective teams as and when required.


EMEA VP & Senior Director Specific
  • To provide comprehensive assistance, support and be the right-hand person to both the Regional Director UK/VP Retail EMEA, and Senior Creative director EMEA & Japan.
  • To maintain working knowledge of the VP/Senior Directors current priorities such as projects, deadlines and conversations but also having their long-term goals in mind and work to support the successful delivery of these. This includes pre-empting mid-year review conversations, goal setting and having sight of each teams' movements throughout the year.
  • Liaise at the highest level with International stakeholders, both internal and external.
  • Manage the VP & Senior Director’s diaries with meetings and appointments, both internal and external. Recognise and determine level of priority, be able to react quickly to amended plans and weekly calendar changes.
  • Proactively bring awareness to potential upcoming trips, summits, planning travel and meetings accordingly.
  • Complete & submit all expenses ensuring timely settlement of corporate Credit Cards.
  • Manage the VP & Senior Director’s contacts lists and e-mail distribution lists.
  • Create and amend PowerPoint and Keynote presentations.
  • Review mail in VP & Senior Director’s inbox, particularly when they are travelling, monitor and manage out of office preferences.
  • Network on behalf of the VP, Senior Creative Director and the EMEA & Japan CP group both internally and externally in order to raise awareness of the team’s activity and nurture existing and new relationships.
  • Act as the VP & Senior Director’s ambassador for new members joining the team, working with HR, IT
and the post room on their behalf to ensure the appropriate on-boarding and welcome.

  • Raise purchase orders for designated areas of the business including use of SNAP and SAP functions.
  • Organise, attend and take minutes of internal EMEA CP meetings e.g., Leadership Meetings and Team Huddles/Weekly’s.
  • Arrange internal EMEA team events including business meetings, team building days and training sessions.
  • Play an active role in the London based CP Social Committee.
  • Be the primary London-based point of contact for local office team assistants in Milan, Madrid, Munich, Paris and London. (i.e., G5 markets and their CP team assistants)
  • Regularly liaise with our LA Brand Development head office, handling requests, organising meetings and offering support with EMEA based conferences and events organised by LA head office
  • Regularly liaise with our Japan office contacts and team

  • End to end ownership of stand-alone Consumer Products UK events and from time to time in other EMEA countries.

  • Extensive experience working at Personal Assistant level for senior management, preferably in the media / entertainment environment and ideally across multiple teams.
  • Previous experience within Consumer Products preferred.

  • Excellent verbal and written communication skills.
  • Skilled super-user of Microsoft office products including Word, PowerPoint, Excel, Outlook and G Mail.
  • Editing and creating Keynote presentations.
  • SAP/SNAP efficient for PO raising.
  • Proficient in both Mac and Windows software

  • Communicative and collaborative. Understands the need to work as a team and quickly builds effective relationships across all levels of the organisation including Executive level.
  • Highly organised. Proactively and methodically plans ahead taking in to account the bigger picture. Responds effectively to urgent and last-minute changes and demands. Can manage conflicting priorities calmly and effectively to meet deadlines.
  • Proactively seeks out and shares relevant information in a timely manner. Approachable but able to prioritise professionally where required.
  • Ability to manage multiple projects and requests at once.
  • Ability to work independently and show a strong sense of initiative.
  • Ability to work with confidential and sensitive information with absolute discretion.
