Role Overview

Location: London or Manchester

This is a critical role which will provide comprehensive Executive Assistant support to the Global Media COO (80%), alongside broader assistant duties for the Global Media Operations Leadership team (20%).

The Global Media COO is responsible for improving how dentsu international delivers media, to be better for our clients and simpler for our people. They lead an agile central team (dispersed globally) and have matrix management responsibilities with individuals across key markets. The Global Media COO and the Media Operations team are at the intersection of Media Service Delivery and Business Operations – putting it at the heart of some of our most important and valued initiatives.

Key Accountabilities

Responsibilities include, but are not limited to:

  • Extensive Diary Management for the Global Media COO

  • Effectively managing time and prioritising needs

  • Ensuring all regular Global Media Operations Meetings are diarised and managed in accordance with the annual and monthly meeting cadence requirements

  • Creating (and validating) agendas, checking virtual/physical rooms are booked (both internal and external)

  • Identify clashes and pro-actively seek solutions

  • Relevant travel/refreshment arrangements

  • Greeting visitors of all levels of seniority

  • Inbox Management for Global Media COO. Triaging incoming emails, prioritising requests, and dealing with issues directly where relevant

  • Creating and/or Curating communications to be distributed to the network on behalf of the Global Media COO

  • Taking detailed minutes for leadership meetings, ensuring actions are recorded and followed upon

  • Building strong relationships with all internal stakeholders and helping to navigate the internal matrix to get work done

  • Produce the required documents either in PowerPoint (for internal & external meetings), Word or Excel, all to a highest standard

  • Liaison with senior management and their EA/PA’s within dentsu

  • Handling of highly confidential people information

  • Book any potential travel and accommodation and create extensive travel itineraries

  • Organise all expenses or any other related activity

  • Any ad hoc requests

  • Providing support for the broader Media Operations Leadership team including:

    • Supporting diary management for certain members of immediate Media Operations Leadership team

    • Supporting with complex/non-standard meeting & travel requests

    • Office Management Support, liaising with Facilities to ensure all the relevant forms and clearances are approved

    • New Starter onboarding & set up for team members

    • Supporting team initiatives including Monthly townhalls and dentsu events

  • Ability to operate in highly matrixed and agile global business

  • Comfortable to work across virtual global teams (different markets, cultures, styles)

  • A radical collaborator who will always do their very best to find a solution

  • Have the seniority and professionalism to interface with Executive Management and to deliver to a very high level of attention to detail

  • Excellent time management skills, with the ability to juggle many projects at one time

  • A ‘can do’ attitude, resourceful and driven to help others and find solutions and present them

  • Ability to keep calm in the face of multiple requests and conflicting requests

  • Strong written and verbal communicator, being able to understand and convey the tone and style of the Global Media COO

  • Marketing, Advertising, Media or Creative background advantageous but not essential

  • Expert user of MS Office and comfortable using other IT packages

  • The ability to always maintain discretion and confidentiality

  • An individual with strong values, ethics and morals that align to our own dentsu culture
