Post Title: Academic Services Officer (Doctoral College) SBU/Department: Academic Registry / Doctoral College

FTE: 1FTE (working 37 hours per week) Duration of contract: Fixed term contract for 7 months Salary: UH6 £28,756 - £31,406, pa pro rata with potential to progress to £34,304pa pro rata depending on skills & experience Location: De Havilland Campus, Hatfield The post holder will be required to demonstrate exemplary professional administrative and organisational services to support the administration of Research Degrees, the Academic Services Team and the Director of the Doctoral College Main duties & responsibilities The role holder will be responsible for all administration associated with the final examination process, including ensuring all procedures are carried out in accordance with University regulations, coordinating the appointment of external examiners and offering excellent advisory service to all stake holders. You will work closely with the Director of the Doctoral College, their senior management team and external stakeholders. Additionally, you will clerk the Research Degrees Board, including the preparation of agendas, associated papers and minutes and notifying all Postgraduate Research students of the decisions taken by the Board. Part of this role involves clerking and administering any Complaints or Appeals Panels, including advising candidates and panel members of University Policy and procedures. You will assist with compiling data for the completion of statutory returns and ensure the integrity of student data and that student records are updated and maintained. You will be involved in the delivery of induction sessions for Postgraduate Research students, Researcher Development Programme sessions, Supervisor Training and Internal Examiner Training. This role includes line management responsibilities, so you will have excellent people management skills. Skills and experience needed Applicants should be highly motivated, proactive, and flexible to requirements. Effective communication skills, excellent negotiation, interpersonal and supervisory skills, along with the ability to liaise effectively with senior management are key requirements. You must have relevant administrative experience in a complex and dynamic organisation. Experience of working in Higher Education administration is desirable. Your application will evidence excellent IT skills including web design, experience of managing a range of demands and of producing and implementing procedures with specific attention to detail. The ability to accurately analyse and present complex data from multiple enterprise systems is key. Tact and diplomacy, with the ability to handle sensitive information with strict confidentiality is crucial. You will be required to be effective in a team setting, with a can-do attitude. You’ll have the ability to adapt to changing circumstances, processes and institutional culture and to be proactive in promoting change. Qualifications required Degree level or an equivalent standard, or higher, or have proven professional work experience.
