We’re looking for a proactive and organised an Office Manager for our FIRST London Agency office. As Office Manager, it means ensuring the smooth and efficient day to day running of the office - you’ll delivery exceptional support to the London Agency team with all things office-related.

Office Management

  • Be the go-to person and face of the London Agency office
  • Meet and greet all visitors into the FIRST Office
  • Organise internal office events including socials, celebrations and training events
  • Manage meeting room bookings, prepare rooms and provide refreshments and scheduling meetings
  • Manage all office post, local, international courier bookings and deliveries
  • Liaise with landlord on building and courtyard activities, recycling and incoming deliveries
  • Be responsible for office security, including keys, door fob and alarm allocation
  • Be the main contact with office cleaning company, monitoring supplies and general cleanliness
  • Manage relationships with all office suppliers, negotiate best deals and oversee office management budget
  • Ensure all health & safety and environmental policies are up to date and adhered to, including all COVID-19 related actions whilst still acknowledging social distancing regulations and managing employee health declaration forms
  • Be the go-to office health and safety and fire regulations contact for agency-based employees
  • Organising ergonomic checks and set ups when required
  • Be the first to answer incoming calls to our switchboard
  • Take ownership of the storage cupboards, monitoring offices supplies and preparing orders
  • Take responsibility for office IT kit including booking support/maintenance appointments and yearly PAT testing
  • Be the day to day contact for external IT & telecoms company, solving internal issues and keeping everyone updated
  • Set up IT & telecoms equipment for all new members of the team/freelancers
  • Provide support to the operational team including binding, scanning, photocopying, packing, archiving
  • Ensure the general tidiness, functionality and maintenance of the office is maintained including management of the appointed cleaning contractor to ensure the above is achieved
  • Be responsible for replenishment of office drinks, other supplies and keeping stock checks
  • Ensure kitchen and break out areas are maintained and kept tidy, this includes dishwasher, fridge and surface areas


  • Confident, approachable, proactive and super organised
  • Proven office management and EA experience
  • Great IT skills and the ability to muck in when something goes wrong
  • Prioritisation and multi-tasking skills
  • Strong oral and written communication skills
  • Ability to take initiative and bring solutions to the table
  • Great attention to detail
  • Problem-solving skills and project management ability


  • Monday to Friday 8:30am – 5:00pm
